   01 Maintaining Custom CID Size and Placement
Making adjustments to the height, width, and placement of the CID will be remembered when AVImark is closed and reopened. There is also no longer a maximum width for the CID. Previously, the CID could only be widened to a certain point; once all the fields were displayed, the CID could not be widened any further.

Logic Behind the Feature: Having the ability to customize the size and placement of the CID and having those adjustments saved, prevents the user from having to re-adjust each time AVImark is opened. The ability to widen the CID past its previous limit, allows the user a greater display of patient tabs.

   02 Updating Client Driver’s License
A client’s driver’s license can now be updated from the Enter Payment window. When taking a check payment, enter the client’s driver’s license into the new D/L no. field. When the payment is complete, the client’s information will be updated with the license number that was included in the Enter Payment window.

NOTE: A new security option has been added to protect the updating of the client’s driver’s license information. Within the Accounting tab of Users and Security the function Update Client’s License has been added.

   03 Creating a Pre-Invoice
The ability to print a Pre-Invoice that includes a list of unposted services and/or items that have been administered or dispensed to a patient is now available.

From within the Client area of the CID, Right-Click…Pre-Invoice (or Ctrl + Shift + F8) will display the normal invoice window. All charges that are unposted on the patient’s Medical History, as well as any charges that are part of an open invoice, will be listed. The amounts listed on this Pre-Invoice will include all appropriate taxes, fees, discounts, etc for the current client and patient(s).

The printed copy of this Pre-Invoice can include a watermark indicating that it is not a true invoice but rather a Pre-Invoice. This watermark can be included by selecting the option Print Pre-Invoice Watermark within Work with…Hospital Setup…Invoicing.

When this Pre-Invoice is closed and/or printed, it will not be saved to the client’s accounting. All charges that were unposted, will remain unposted in the patient’s history until they are posted in the normal manner.

The displaying and printing of the Pre-Invoice can be protected by securing the new View/Print Pre-Invoice function within the Accounting tab of Users and Security.

Logic Behind the Feature: The Pre-Invoice feature was added to provide a means of allowing the client to view all of the charges and totals before those charges are actually posted to the account. Allowing the client to view their possible charges prior to those charges being posted will also provide the user the ability to make changes to and/or remove charges more easily

   04 Single User Medical Condition Records
The feature of preventing multiple users from accessing the Notes of a particular Medical History entry on a particular patient at the same time was added in version 165. This feature has been taken a step farther by preventing multiple users from accessing the SOAP record and/or Notes of a particular Medical History entry of a particular patient.

If a user attempts to access the SOAP record while another user currently has the Notes or Medical Condition record open for that same entry, the message “Another user is currently entering notes for this medical history entry. Continue?” will prompt. This same message will prompt if a user attempts to access the Notes of an entry while another user is currently working in the Notes or SOAP record of that same entry.

Clicking NO on this confirmation message will return the user to the CID; selecting YES will allow the user to open the Notes or SOAP, but only with a Read Only status.

Note: Users that are logged in as Administrators will have the ability to ignore this warning and make additions to the Note or SOAP records, even though that area is already opened, by clicking the Ignore button. When the Ignore button it selected, another message will be displayed asking if the user would like to re-set the attributes of this Note or SOAP record. If the users selects YES, he will be returned to the CID where they can then select to open that Note or SOAP without any warnings or messages. Selecting NO will also return them to the CID, but will not allow changes to that Note or SOAP record. This button will only be visible when an administrator is logged into the system.

   05 Appointment Calendar Openings
The ability to view all open times in the Appointment Calendar is now available. From within the Appointment Calendar, clicking on View…Openings will display a list of all open periods for the date range, doctor, room, and duration specified.

The date range will default from the current date through the first day of the month after-next. For example, From 9/15/04 To 11/1/04.

The Doctor and Room will default according to what is specified in the drop-down lists located below the main tool bar of the appointment calendar. If there is no doctor or room specified, then these fields will default according to the current appointment calendar view. For example, in the Daily, By Doctor view, the Doctor field of the Appointment Openings window will default to whichever doctor was selected on the appointment calendar.

The appointment openings that are listed will not be each individual time that does not have an appointment, but rather, combined time periods that do not have appointments. For example, if an entire day is available with no appointments, the Start and End times will be listed as one open period. If a day were completely available except for one appointment at 3:00pm, there would be two open periods for that day, 8:00am to 3:00pm and 3:30pm to close (with a 30 min. increment specified in Hospital Setup).

The Minimum Duration field lets you select an appointment opening that is of a minimum duration. For example, if you specify a minimum duration of 1 hour, then AVImark will look for a time period within the selected data range of 1 hour or more.

NOTE: Block-offs will be taken into consideration when displaying the open periods.

To quickly access appointment openings, the arrows on the tool bar can be used as well as the Next Opening and Prev Opening options in the View menu. In this manner, you will access the first available appointment within each time period.

This list of openings can be printed from Print…Print Openings. From this print window, the specific date range, doctor, room, and minimum duration can be selected for printing.

   06 Recurring Appointments
When an appointment is made that needs to be recreated identically on several different days, you are no longer required to manually add each appointment along with all of the appropriate treatments and notes. Doing a Right-Click on a appointment and selecting Recurring Appointments you can now select the days that you would like that appointment recreated on.

Once the appropriate dates are selected, an appointment will be created on each date with the time, doctor, room, duration, treatments, notes, and/or problems that were specified on the original appointment.

NOTE: Removing a recurring appointment can be done by removing the inappropriate appointment individually from the CID or the Appointment Calendar.

   07 Ability to Mark an Appointment as LATE

When a patient’s appointment is checked-in after the designated time of the appointment, a message will be prompted asking if you would like to mark this appointment as LATE. Clicking YES on this message will automatically mark the appointment as LATE. See enhancement # 8 for details on multiple LATE appointments.

Appointments can also be removed and marked as LATE. Doing a Right-Click…Remove from a reservation on the Appointment Calendar or the CID, you can select the Mark as LATE option.

   08 NO SHOW Appointment Warning
Clients that are frequently No Shows, Late, Rescheduling, and/or Canceling appointments can now be flagged when they are scheduling new appointments. From within Hospital Setup…Appointments…Options you can specify to flag one or all of the above situations and how many times those instances can occur before the client is flagged with a warning.

Once the specified number of No Shows, etc is reached by a client, the next time that a new appointment is created for that client, a warning displaying the number of instances this client has had will be displayed, as well as a confirmation asking if you would like to proceed with the appointment. Clicking Yes will allow the appointment to be created, and clicking No will prohibit the new appointment from being created.

Creating appointments for clients with multiple instances of the above options can be protected by securing the new function of Make Appointments for Clients with Missed Appointments function within the Appointment tab of Users and Security.

   09 Appointment List
A list of appointment reservations for one doctor or all doctors can now be viewed from the Appointment Calendar. From the View menu, select the new Appointment List option. A window will be displayed showing all of the reservations that are still pending for one particular doctor or for all doctors.

The Doctor field within this Appointment List window will work as the Doctor field within the new Openings feature. The Doctor field will default according to what is specified in the drop-down lists located below the main tool bar of the appointment calendar. If there is no doctor specified, this field will default according to the current appointment calendar view. For example, in the Daily, By Doctor view, the Doctor field of the Appointment Openings window will default to whichever doctor was selected on the appointment calendar. If no doctor is selected through either method, the field will default to All Doctors and will list all appointments for all doctors.

The starting date of the date range will default to the current date, but the ending date will default to blank, so that all appointments made for the future will be listed. A particular ending date can be specified to display only appointments within that limited range.

The Ghost check box will display all of the appointments that have been checked in or removed manually. This check box will default to being unchecked when this window is first accessed, but will remain checked if the Appointment List window is closed while the option is checked.

   10 Enhanced Diagnosis List
When accessing the Diagnosis List, you will immediately notice a new look. Along with the new appearance of the list, there are several new features.

When doing a Right-Click…Change on a diagnosis category, you will notice that there is no longer a code field. A code is no longer required for Diagnosis categories.

Accessing the Change Diagnosis window will display several new features:

  1. The Action code and Work List fields now contain drop down lists as does the Category and Remind As fields. NOTE: The Remind As drop-down will list the codes that have been specified within this field on Diagnosis codes only.
  2. Browse buttons have been added next to the Document, Photo, Form, and Protocol fields giving quick access to the appropriate areas for selection.
  3. A Category field has been added giving you the ability to easily move the selected code to a different category.
  4. Two species fields are available for each Diagnosis entry. Specifying a species will allow you to print and/or display the Diagnosis List and include only those entries that are restricted to a specific species.

A Species field has been added to the Diagnosis List Maintenance window allowing you to display only those codes, within the selected category, that contain the specified species.

Line items can be reorganized and/or moved to a different category by dragging-and-dropping.

Items can also be sorted by clicking on the Title Bar of the column you wish to sort. Each click on the title bar sorts the list in either ascending or descending order – as indicated by the caret-like symbol on the right side of the title bar. On some lists, clicking a third time sets the order to its “defaults”. For example, if you had used the drag and drop feature to place line items in a specific order, clicking the title bar a third time would revert to the previously sorted list.

Speed bar buttons for adding a new entry and changing an existing entry are located at the top of the list.
