We have a few clients that I keep Credit card numbers on file for. What about some way to secure that information in a paperless system.

To my knowledge, there is no where to store those numbers unless you have MPS.

I hide them in accounting by adding a note to an Invoice number, and delete the number as soon as I process. I realize that this isn't ideal, but this is the best I could come up with for clients who insist we keep a number on file.

I created a new field for the client section under additional info that allows me to put in cc number and exp date. There is an option to NOT have this print on any invoices. So we can just click on additional info and voila, cc info.

You can also put it in the additional info area and if you click More Info on the client area it pulls up the additional info.

We are in the process of removing all credit card numbers stored in Avimark to comply with the Red Flags Rule (I don't think we can legally store bank information on a client's account).

Right now, we enter the payment as a held check and place a slip of paper (with the card info) in the postdated check envelope. On the day we run it, we switch payment from held check to whatever type of card payment, process the transaction and shred the slip of paper.

Keeping the credit card information in More Stuff increases your chance for fraud. We have a utility program called ClearCCData that can be ran on your data to replace credit card numbers with X's. If you are trying to remove the stored credit cards, I recommend giving support a call to get help running the utility.

MPS does have a PCI-DSS compliant way to store credit cards. If you are interested in learning more about MPS, you can visit http://www.mcallisterpaymentsolutions.com or call 1-877-838-9273 option 2, then option 2.
